This policy explains how StandardsIQ collects, uses, holds, and discloses personal information across the StandardsIQ platform and our mobile apps, including StandardsIQ Cleaner, SIQ Supervisor, and StandardsIQ Admin.
StandardsIQ Pty Ltd (ACN 696 990 771, ABN 16 696 990 771) ("StandardsIQ", "we", "us", "our") provides software that helps commercial cleaning businesses run and prove their work. We are committed to protecting your personal information and handling it in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Our registered office is 1103/259 Normanby Road, South Melbourne VIC 3205. If you have any questions about this policy, contact us using the details at the end.
Our apps, including StandardsIQ Cleaner and SIQ Supervisor, are workplace tools provided to you by your employer, the cleaning business you work for. Your employer decides that the app is used at your sites and is the party responsible for giving you any workplace surveillance notice required under the law in your state or territory. StandardsIQ builds and hosts the software on your employer's behalf. The app also asks for your consent to location and camera use before it collects anything, and you can decline a permission at any time in your device settings, though some features will not work without it.
1. Information we collect
We collect only what the platform needs to run your work and prove it was done.
Account and identity
Your name, email address, phone number, role, the business you work for, and the sites you are assigned to. This is created when your employer sets up your account.
Location (StandardsIQ Cleaner only)
Only the StandardsIQ Cleaner app collects device location. When you clock in and clock out, and while you are completing a shift, it captures your device's GPS location to confirm you are inside the site geofence and to support no show alerts. We do not track your location outside of your shift, and we do not collect location in the background when the app is closed. The SIQ Supervisor and StandardsIQ Admin apps do not request or collect device location; they display attendance locations recorded through the Cleaner app.
Photos, video and camera
Photos and video you capture as proof of cleaning, and any photos or video you attach to messages. Video includes the sound recorded with it through your device microphone. These are stored securely and shown to your employer and, where your employer allows it, to the building client for that site. You can also save photos and video from your chats to your own device.
Work records
Shift times, zones and task completions, reasons you record when a task cannot be completed, issues, hazards and incidents you report, audit scores, stock counts, messages you send, and training and compliance records where these apply to you, including documents a supervisor uploads on your behalf.
Device and technical data
Device type and operating system, app version, a push notification token so we can send you alerts, IP address, and log and error information used to keep the app secure and working.
Information stored on your device
So the app works with no signal, some of your entries such as clock actions, task ticks, and photos may be saved on your device until a connection returns and they sync. This local copy stays on your phone and is cleared once it has synced.
2. App permissions
The app asks for the following permissions. Each maps to a single, stated purpose, and you control them in your device settings.
| Permission | Why the app uses it |
|---|---|
| Location (StandardsIQ Cleaner only) | To confirm you are on site when you clock in and out, and to support geofence and no show checks during a shift. Not requested by SIQ Supervisor or StandardsIQ Admin. |
| Camera | To capture before and after photos, and to record video, as proof of your cleaning work and to attach to messages. |
| Microphone | To record sound as part of videos you capture to attach to messages. |
| Photo library | To attach a photo or video from your library to a message, and to save photos and videos from your chats to your device. |
| Notifications | To send you shift, message, and task alerts. |
3. How we use your information
- To verify attendance and confirm you are on site at clock in and clock out.
- To record and present proof that cleaning work was done, by whom, when, and to what standard.
- To deliver the service to your employer and to the building client for each site.
- To send you shift, message, task, and compliance alerts.
- To provide support, keep the platform secure, prevent misuse, and fix faults.
- To meet our legal and record keeping obligations.
4. When we share information
We do not sell your personal information. We share it only as needed to run the service:
- Your employer. The cleaning business that operates the account can see your attendance, work records, photos, and messages.
- The building client. For each site, the building owner or manager may see proof of clean such as attendance, photos, and audits. Whether your name is shown to the client is controlled per site by your employer.
- Service providers who process data on our behalf. These include Supabase (secure database, sign in, and file storage), Expo (push notifications), and Resend (email delivery). They may only use the information to provide their service to us.
- Legal and safety. Where we are required by law, or to protect the rights, property, or safety of any person.
5. Automated insights
StandardsIQ uses AI, provided through Anthropic's Claude service, to generate operational summaries and insights for your employer and building clients, such as trends across shifts and sites. This content is generated from work records already held in the platform. Your personal information is not used to train third party AI models.
6. Storage, security, and where data is held
We protect your information with encryption in transit and at rest, role based access controls, and access rules that keep each business's data separate from every other business on the platform. Only people who need your information to do their job can see it.
Your information is stored on secure managed infrastructure operated by our service providers. Some of this infrastructure, and some processing, may take place outside Australia. Where information is stored or processed outside Australia, we take reasonable steps to ensure it is handled consistently with the APPs.
7. How long we keep it
We keep your information for as long as your account is active and for as long as your employer needs it for their operational, contractual, and legal record keeping. When it is no longer needed, we take reasonable steps to delete or de identify it.
8. Your rights
Under the Australian Privacy Principles you can ask to access the personal information we hold about you, and ask us to correct it if it is wrong. To do this, contact us using the details below. In most cases your employer is the first point of contact for your work records, and we will work with them to help.
You can withdraw a permission such as location or camera at any time in your device settings. You can also ask us to close your access, though your employer may retain records of completed work as described above.
9. Children
Our apps are workplace tools intended for adult workers. It is not directed at children and we do not knowingly collect information from children.
10. Changes to this policy
We may update this policy from time to time. When we make a material change we will update the effective date at the top of this page, and where appropriate notify you in the app.
